Charter
Purpose
The Photographs Workgroup preserves the Society’s photographic heritage by identifying, digitizing, documenting, and archiving photographs while coordinating the permanent preservation of the original photographs at the Library of Virginia.
Mission
Ensure every photograph is digitally preserved, identified whenever possible, clearly described in plain language, and included in the Clay Family Society digital archives while maintaining a record of where it came from and any known history.
Objectives
- Locate and inventory all surname Clay related photographs held by Society members.
- Digitize photographs using consistent scanning standards.
- Record clear descriptive information for each photograph, including known people, places, dates, and events.
- Organize identification sessions with knowledgeable Society members and clearly distinguish confirmed identifications from educated guesses.
- Prepare original photographs for permanent transfer to The Library of Virginia.
- Develop procedures for future photograph donations and digitization.
Deliverables
- Complete digital image collection.
- Organized index of all photographs.
- A clear description and historical record for each photograph.
- Inventory of original photographs transferred to The Library of Virginia.
- Written procedures for future photograph submissions.
Guiding Principle
Preserve the image, document the evidence, clearly distinguish established facts from hypotheses, and create a collection that future researchers can confidently use.
Chair Responsibilities
- Coordinate volunteers and workgroup meetings.
- Schedule photograph identification sessions.
- Ensure consistent scanning and documentation practices.
- Coordinate with The Library of Virginia regarding transfer of original photographs.
- Provide progress reports and recommendations to the Clay Family Society Board.
